- Call recordings and transcripts: audio recordings and written transcripts of assessment and follow-up calls
- Communications data: emails and messages exchanged between you and Not My Problem
- Implementation data: internal documents, process documentation, knowledge base content and system information, collected only where you have requested additional implementation services beyond the assessment, and not as part of the standard engagement
1.2 We do not collect special category data and we do not knowingly collect data from individuals under the age of 18.
1.3 We collect data directly from you during booking, assessment calls, correspondence, and where applicable, during delivery of additional services you have requested.
2. How We Use Your Personal Data
2.1 We use your personal data to deliver the services you have engaged us for, including conducting and recording your assessment, assisting with the delivery of your assessment report and recommendations, communicating with you, and managing our ongoing business relationship. Where you have requested additional services such as automation builds, AI systems or knowledge bases, we will also use your data to design, build and deliver those services. Where required by law, we will use your data to meet our legal obligations.
2.2 The lawful bases we rely on are performance of contract, legitimate interests in operating and improving our business, your explicit consent where applicable, and compliance with legal obligations.
2.3 We will only use your personal data for the purpose for which it was collected. If we need to use it for a materially different purpose, we will notify you and, where required, seek your consent.
2.4 Where you have agreed to receive them, for example by submitting an enquiry or subscribing through our website, we may occasionally send you updates by email about our services, offers and relevant news. 3. AI Processing and Third-Party Tools
3.1 As part of our service delivery, we use AI analysis tools to assist with the delivery of your assessment report and recommendations. By proceeding with an assessment, you consent to your data being processed in this way, as set out in our Terms of Business.
3.2 We use a small number of third-party software tools to deliver our services, including tools for call recording, scheduling, AI analysis and file storage. Each operates under its own privacy terms. We take reasonable steps to ensure any third-party processors we use provide appropriate safeguards for your data.

4. How Long We Keep Your Data
4.1 For standard assessment engagements, client data is retained for 12 months from the date of last contact, after which it is securely deleted or anonymised. Where you have engaged us for additional or ongoing services, retention periods may extend beyond 12 months and will be agreed with you on a case by case basis.

5. Your Rights
5.1 Under the UK GDPR, you have the right to access, correct or delete the personal data we hold about you, to restrict or object to certain processing, to data portability, and to withdraw consent where processing is based on consent.
